Performing an Ad-Hoc Billing Run
Sigma can produce ad-hoc bills as and when required. These bills can be part of the standard billing run, or be produced on request.
If you want to create a bill, just for the Ad-Hoc charge(s), this can be done as a separate Bill Run. See below for details.

Initiating the Ad-Hoc Bill Run
- Open the Bill Run Initiation Activity
- Select the Tenant Billing Group that the Tenant Account is in
- Click at the top of the Activity
Alternatively
- Right click on the Tenant Billing Group and click Run Now

The Initiate Bill Run pop-up opens:

Bill Period
The date will default to the previous period e.g. Month/Quarter/Year, depending on the frequency of billing set for the Billing Group.
If you have added a 'one off' charge (for example a deposit) you do not need to amend the Bill Period
If the charge is reoccurring, you will need to choose the month you want to bill (or leave the default at the current month)
- To amend, untick Default Bill Period, then choose the Bill Period from the dropdown
For monthly, this will be a list of calendar months:

For Quarterly, this will be a list of calendar quarters
    Â
For six-monthly, this will be a list of six month periods (based on the start month set on the Billing Group)

Bill Run Type
- Choose Ad-Hoc Bill Run
     Â
- Once you have made your selection, click OK
This will trigger a Tenant Bill Run for the Tenant Billing Group using the currently selected Bill Run option and other parameters, therefore only creating Ad-Hoc charges for any Accounts that have either a reoccuring Adhoc charge, or a one off ChargeÂ
Confirming the Bill Run
A Note popup appears to confirm the bill run has been triggered :

- Click  OK
This will produce bills for Ad-Hoc charges ONLY, for the month selected, or any one off Ad-Hoc Charges that have not yet been billed.

The remainder of the process is the same as Normal Bill Run
Checking the charged date
The Tenant Account will be updated to show the latest date that the charge has been applied.
- From the Data Selector, right click on the Tenant Account
- Click Edit

- From Tenancy Management Activity, select the Tenant in the Tenants section
- Select the Account in the Contract Tenancies section
- Right click on the Contract
- Select View/Edit Tenant Account
