Creating Associated Data manually


Introduction

Associated Data can be used within Reporting and validating Bills.

This section will show how to set up the general ones, ie Floor Area, Population, Occupancy etc. 

For details on how to set up Degree Days or PPU  (pence per unit), click on the links.


Once created, it can be viewed and updated in the Estate Management Activity.

Creating a new Associated Data Channel Type (if it doesn't already exist)

From Database Object Setup Activity:

  • Open the Database Object Setup Activity
  • Choose the Object type - Associated Data to view all the existing Types

         


  • Click  to add a new Type
    • Enter the name of the Channelfor example PPU ELEC RATE 1

                    


  • Click OK to save
  • Repeat to add any others you want to use


These types will now be available in the dropdown list when creating the Channel (see below).

Creating the Associated Data Channel

Associated Data can be set up at any level, including Supply Point, Site, Account and Meter, depending on what the data is. 

Adding Associated Data to a Site

For example, adding Floor Area, Population or Occupancy figures.

From the Estate Management Activity:

  • Highlight the Site in the Data Selector
  • Click Actions
  • Click Manage Associated Data

                    

  • All existing Associated Data for the Site will show (including those set at Supply Point, Account or Meter level)
  • Click New Data for Site

          

Adding Associated Data to a Supply

From the Estate Management Activity:

  • Click on the Supply Point tab 
  • Highlight the Supply Point 
  • Click  Manage Associated Data

         

  • All existing Associated Data for the Supply Point will show in the pop up
  • Click New Data for Supply Point

         


Adding Associated Data to an Account

For example the Pence Per Unit for an Account.

From the Estate Management Activity:

  • Click on the Accounts tab 
  • Highlight the Account 
  • Click  Manage Associated Data

         


  • All existing Associated Data for the Account will show in the pop up
  • Click New Data for Account

         

Adding Associated Data to a Meter

  • Click on the Meters & Channels tab 
  • Highlight the Meter
  • Click  Manage Associated Data

         


  • All existing Associated Data for the Meter will show in the pop up
  • Click New Data for Meter

         


All of the above, will open the Associated Data Editor

         

         

Complete as follows:


FieldSuggested Value
Channel Name

Individual to each Associated Data item

(Good practice is to prefix the type of Associated with the type chosen, ie Multree Headquarters Floor Area)

Note:  Complete this after you have chosen the Data type as it will default to whichever Data Type you have chosen

Data Load ID 1

Automatically generated (do not change if setting up manually)

When data is loaded against the channel in bulk using a CSV file, this data load ID needs to be used.

Timezoneusually set to Europe/London
Data type

Choose the most appropriate option from the dropdown to reflect what the data represents.

You can use the + to add a new type -for example Electricity Rate 1 PPU

Unit of MeasurementThis is the format that the data will be loaded in.  for example m2
Conversion FactorDefaults to 1
Asset TypeChoose from the dropdown, types such as Fiscal Grid Import and External Lighting
Meter ReadingsDo not tick for Associated Data Channels


         

Click OK to create the Associated Data item


Viewing the Associated Data Channel

Once you have added the Associated Data Channel using one of the above methods, the pop up will update to show the new added line.

The below example is showing the Site Associated Data pop up (which shows all Associated Data for the Site, Supply Point, Account and Meter

         


Note:  No values have been added yet, therefore the Effective Value, Latest Value and Latest Date columns are blank.

Adding a Value to the Associated Data Channel

  • Highlight the newly created Channel
  • Click Add Value To End

          


The Add Readings pop up appears

  • Amend the Start date to the date you want to start using the Associated Data
  • Ignore HFD Period (not required)
  • Enter the Value, for example the m2 for the Site
  • Keep the Status as Data Edited Manually

        


  • Click OK to confirm

The Associated Data Channel will update with the date and value
