Introduction

The administration activity is split into four sections;

  • Dashboard
  • Manage Users
  • Manage Roles and
  • Manage Permissions

A User refers to the individual login required per user.

A Role is a specific category of user with custom activity permissions. Users may want to assign different roles for different user activities (such as Bill Entry or Energy Managers).

The permission management is for updating users who have restricted access to a select group of sites.

By default you will have a template role that has all available activities. It is recommended you configure your required roles before creating the individual users. Selecting one of these thumbnails will open that activity in a new tab.

Dashboard

This is the default page for the Admin Activity, useful to view your Login details at a glance. The Widgets layout can be changed in the same manner as the main Dashboard.


Last Logged In



This Widget displays when the users last logged in, the date the users were created and if a user has 'Never' logged in.

Select to save the Widget to an XLS file.

Select to refresh the Widget.

Select to amend the Settings of the widget.

The Widget can display the last logged in for Users (User Aliases), Roles (User Roles) or both.

Select to maximise the Widget to full screen.

Total Logins for Period


This Widget displays how many logins there have been into a single period over a period of time – this is for both User Roles and User Aliases.

Select to save the Widget to a zip file.

Select to refresh the Widget.

Select to amend the Settings of the widget.

The Widget can display data as a Pie Chart and/or Bar Chart.

The Data can have an interval of Month with a maximum of 12 or Week with a maximum of 8.

Select to maximise the Widget to full screen.

User Logins for Period




This Widget displays how often a User Alias or User Role has logged in each Month or Week. There is a table of data at the top and a chart below.

Select to save the Widget to a zip file.

Select to refresh the Widget.

Select to amend the Settings of the Widget.

The Widget can display data as a Pie Chart and/or Bar Chart.

The Data can have an interval of Month with a maximum of 12 or Week with a maximum of 8.

The Widget can display data for Users (User Alias), Roles (User Roles) or both.

The Chart at the bottom will display details for the first user in the table by default, select another in the table for the chart to update.

Manage Roles

Navigate from the activities drop down selecting the Admin activity, then click the following button:

Available activities are taken from a user permission called template.

Select 'Add Role' to create your new user role and give it a name.

Tick the boxes next to the activities you want applied to the role and assign the schema for each role (allowing Read/Write or Read Only access).

To specify which widgets the Role has access to select:

Click to add Widgets.

Click to remove all Widgets.

Once you have chosen your Widgets, drag and drop them around the screen to create the view you require.

Click to return to Role Management.

Click to save the changes.

Default Roles

Admin User – full access (read and write) including Admin activity.

Read Only User – read only access to all activities excluding Admin.

Standard User – full access (read and write) excluding the Admin activity.

Any users associated to the Role will see the default dashboard layout when they log in.


Note: You will only be able to see a sub-activity if the master activity has been selected.

Manage Users

Navigate from the activities drop down selecting the Admin activity, then click the following button:

Click the 'Add User' button to begin:

Populate all fields that require input; required fields are marked with the symbol.

Next select the Role of your User; these will have been defined in the Manage Roles section.

If you require the User to have an expiry date you can populate the relevant fields. Once the date passes then the User will be locked from the system.

Selecting 'Override Validation' means that the User will be able to use their password to override a failed validator on an invoice in the Bill Entry activity.

Click 'Save' to commit the changes. An email will be sent to the specified email address containing the password.

Upon login the User will be prompted to provide a new password.



Manage Permissions

Navigate from the activities drop down selecting the Admin activity, then click the following button:

Click to add a group.

Enter the name of the new Data Permission Group, such as 'North Sector' and click OK.

From the available users section, choose the User(s) to be applied to this group and tick the 'Restricted' box:

  • Select the User and drag it over to the 'Selected Users' section:

Data Selectors

Tree Selector – Shows database objects arranged in the form of a tree (that can be expanded or collapsed).

Multi List Selector – Shows database objects in the form of lists or data columns.

Item Finder – Perform a search on specific database objects.

Global Search – Perform a search on the whole database.

Stored Searches – Access any searches you have previously saved.Using the Data Selector, search and highlight any Sites or Site Group that you want this User to be able to see.

Once the items are selected, drag and drop them into 'Selected Items' in the bottom window:

If you have added in too many sites then select those you wish to remove and use the remove items button .

To find an item quickly within the Selected Items use the Search Tool

The Selected Items will be limited to 1000 in the view for speed of loading, this can be increased to 5000 by selecting .

'Recursively apply Data Permissions to child items' is ticket by default. This means that the User will be able to see any items underneath your selected sites such as accounts and bills, meters and channels.

'Clear all existing Data Permissions' will remove any existing data permission groups that may have been applied to the sites.

Once you have selected all the relevant information choose 'Save' and the Users within this group will now have restricted access.
